Backup Procedures

Since all of us create files and use PC’s for email and such, we need to be aware of data file backup procedures so that we can recover data quickly in the event of a PC failure of some type

The major recommendation for all PC users is to have at least two (2) electronic data file backups of your MISSION CRITICAL data files.

  • One being the current in use data files
  • The other being from 1 day to two to three weeks old which ensures you can be back in business in a short period of time

Data files can be backed up on one device in a matter of minutes. MU recommends you use:

  • Your PC hard drive (office or home) to keep your working data files.
  • Another device such as a USB mini drive to copy the working files on and transport
    • This is also called thumb drive, flash drive, mini stick or memory stick; the vendor community has not come upon a standard name for them yet
    • A one Gigabyte thumb drive can backup all working files for most of us.

Other devices used to back up critical data files include: floppy disks, zip disks, CD’s, USB external hard drives, another server on which to back up files, a second hard drive in the PC, etc

Items to keep a backup of include:

  • My Documents - It is best to place all your working data files under this folder in sub folders that organize your data and make it easier to copy
  • MS IE Favorites – this is a folder containing your favorite web browser web sites.
  • Netscape Bookmarks – this is a file containing your Netscape bookmarked web sites
  • Files stored on your PC desktop
  • Outlook personal and archive files – these files contain all your Outlook personal subfolders and archived Sent items messages

No one knows your important data files better than you do. So it behooves you to keep a backup of your current working data files.
